BEFORE DEPARTURE

Eticket

You will receive your eticket via email about 2 weeks prior to departure.  Print the page and keep the email with your internet provider's incoming saved mail in the event you misplace the letter with your reservation number.  If you do, don't worry, the information is in your statement as well.  If you don't have your statement either, you just need to give the agent at the airport your name and your flight information.  If you deviated on the return flight you have two sets of numbers/letters for your airline reservation on your statement (yyyyyy-xxxxxxx).  Your actual reservation number is the last 6 numbers/letters.

Seat assignment

Since these are group reservations, we are unable to make individual seat assignments.  However, Air France has informed us that you should be able to perform Internet check-in.  With Internet check-in, you can choose your seat and print out your boarding pass anytime within 30 hours prior to the departure of your flight. All you need is an Internet connection and a printer.  Warning!  If you print your boarding pass and you lose it, it may be a problem when you arrive at the airport.  We will not be able to help you.  You will have to resolve it yourself.  Unless you are willing to take that chance, we suggest you get your boarding pass and check your luggage at the ticket counter at the airport.

Bring the Statement that came with your luggage tags to Spain.  That statement is your final one.
It is the one we used to do all your arrangements for your program in Spain.

DAY OF DEPARTURE

Emergencies

In the event of an emergency on the day departure prior to your international flight or at the airports abroad, please call Dr. Orlando Moreno at his Spain cell: 687049554. If you are calling from the U.S. dial 01134 and then the number.  If you are calling from Paris, dial 0034 and then the number.  When calling from the United States, note that Spain is 6 hours ahead of eastern standard time.  Please do not call this number under any other circumstance.  If you call this number at any other time, Dr. Moreno will not entertain your call.  Please do not be upset.  This line is only for emergencies during travel days. For emergencies not related to airline travel call our emergency contact numbers listed below.

Most of you, except the ones departing June 17, will depart from the U.S. at a time our office in the U.S.A. is closed.  In any event, if you miss your flight or you have another problem at the airport with boarding, there is nothing we can do.  You must resolve the issue with the Air France agent at the gate.  They will be the ones who can fix your problem. 

If you arrive at the gate on time and your paperwork (passport/visa/ticket...) is in order, there is nothing to worry about.

At the USA Gate

There are at least 10 passengers or more departing from most U.S. gateways.  Although there are professors and  teachers departing from most gateways, there are no official Forspro representatives at the gates.  Our representatives will be waiting for you in Spain at your final destination.  Please use the luggage tags you received/will receive in the mail.  Use one luggage tag for your carry-on and the other for the luggage you check through.  Make sure you tell the agent to check the luggage all the way to your final destination.  The luggage tag on the carry-on will help identify you and other participants traveling with the Forspro group at the departure gate.  The luggage tags also helps our representatives identify you upon your arrival in Spain. 

Airport Check-in

We recommend the following: 

  • Arrive for your flight at the airline counter at least 3 hours before departure.  Show the eticket page to the agent at the Air France counter.  The agent will provide you with the boarding pass.  If you don't have your eticket letter, you can still get your boarding pass by giving the ticket counter agent your name, the flight number, your reservation number, or your statement.  

  • If you have a connecting flight and your flight is late and you miss your international flight, go to the counter of the airline  that caused your delay.  Afterwards, call Dr. Moreno (in Spain) at the number above and tell him your status.  Remember that Dr. Moreno is 6 hours ahead.  Therefore, don't call him between the hours of 18:00 and 24:00 eastern daylight time.

Luggage

The limits of Air France as of April 2010 are as follows:

Checked in Baggage.  

You are allowed one checked piece of luggage.  Your baggage must not exceed 158 cm/62 in. (height + length + width) and 23 kg/50 lb.
  • For baggage that weighs between 23 and 32 kg/70 lb. or measures more than 158 cm/62 in., you must purchase an additional baggage allowance.
  • For baggage weighing more than 32 kg/70 lb., prior authorization is required.
  • Beyond this allowance, a fee of €200 will be charged for each additional baggage item on flights departing from Europe, 200 USD on flights departing from the United States.

Cabin Baggage.   Your baggage allowance in the cabin:

  • 1 standard baggage item that respects the following maximum dimensions:
    55 cm (l) x 35 cm (w) x 25 cm (h) – including pockets, wheels, and handles (see below).
  • Please note: (1 suit bag is considered a standard bag)
  • 1 accessory (handbag, notebook computer, camera, etc.)
  • Maximum total weight (standard baggage + accessory): 12 kg/26 lb
1 piece of baggage (measuring a maxi of 55 cm, 35 cm, 25 cm *) including a garment bag + 1 accessory (examples: handbag, laptop computer, camera, etc.) weighing a total of 12 kg (26 lbs.). 

Note: The following rules are the Air France rules.   Id you have a connecting flight, check with the airline for their own rules regarding baggage.

ARRIVAL IN PARIS/ Connecting flight

At Charles de Gaulle Airport

Your international flight from the United States is scheduled to arrive in Terminal 2E.  If you are going on the six week program, your connecting flight to Malaga is scheduled to depart from Terminal 2D.  Although your flight number starts with AF (Air France) the carrier is Air Europa. All other participants are going to Madrid with Air France and the connecting flights are scheduled to depart from Terminal 2F. Follow the airport signs to the appropriate terminal.  To see a map of terminal section of the airport, click below  Note: The terminal arrival/departure is subject to change.

Remember that there is a group from Forspro traveling on your flight.  Stay together.  You should check the monitors at the airport or consult with an Air France employee at the gate to make sure the information has not changed.   In the unlikely event you miss your connecting flight to Madrid or Malaga, call Dr. Orlando Moreno at the number above listed under emergencies.

ARRIVAL IN SPAIN

Take with you the address and phone number of your first destination in Spain.  If for some reason you miss your scheduled group international flight and there are no other Forspro persons at the gate, take a taxi to the hotel or dorm.  Dont forget to take our emergency contact numbers as well.

At the Arrival Gate

In Malaga

The Forspro program Directors of the Malaga program, Alejandro de la Pava and Cristina Fernandez,  are traveling with the group.  Alejandro is in the same flight from Miami to Paris and into Malaga.  Cristina is in the same flight from JFK to Paris and into Malaga.  You will probably meet them at their departure gate.  If not, he/she will be holding a FORSPRO sign at the arrival gate in Malaga where he will lead you to the bus that will take you to the hotel.  Note:  Unless it has recently changed, the luggage area for international flights is at the end of the lobby.

You will be provided transportation from Malaga to Madrid by bus.  Please adhere to the luggage limits of Forspro.  If you exceed these limits and there is no space in the bus for your luggage, you will have to find your own transportation from the airport and to Madrid.

In Madrid

Upon arrival at your final destination in Spain, after you clear customs and pass through the doors, representatives holding a FORSPRO sign will be at the gate to meet you.   If you have lost or damaged luggage, inform another member of the group that you are reporting a lost/damaged luggage so that our representative is aware that you are inside the customs area.  Airport procedures will not allow our representative in the area. 

There are rare occasions where our representative may not be at the gate at the time you come out of the customs area.  Flight delays are common during the summer; therefore, your flight may arrive while our representative is helping others at another gate or you arrive on a flight different from the one scheduled.  Regardless of the circumstances, if this occurs, you should do the following:

  • Stay with the other Forspro students/teachers on your flight near the arrival gate.

  • After waiting 15 minutes, call Dr. Orlando Moreno at his cell phone.  He will provide instructions.

Take with you the address and phone number of your first destination in Spain.  If for some reason you miss your scheduled group international flight and there are no other Forspro persons at the gate, take a taxi to the hotel or dorm.

Airport Transfers

If you purchased the airline ticket thru Forspro and you are traveling traveling on the group’s flight itinerary, you are provided transportation from and to the airport.  Individuals who purchased their own airline ticket or those traveling on non group flights are responsible for providing their own ground transportation arrangements.

  • All Malaga arrivals on June 18 will go to Hotel Natali in Torremolinos

  • Salamanca Program arrivals on June 30 will go to Hotel Moncloa

  • Madrid Program arrivals on July 2 will go to Colegio Mayor Mara or Chaminade

 Due to the limit of luggage spaces in the buses, you are allowed to bring one carry-on and a suitcase, neither exceeding the limits above.  If you exceed these limits and there is no room in the bus, you will have to make arrangements on your own.

EMERGENCY CONTACT ABROAD

Parents / Family

If in case there is an emergency and your parents/family needs to contact us, call the appropriate number below.  Unless you have an emergency, don't call your parents or have your parents call us about things we can solve in Spain.  Note that we will not return phone calls unless it is an emergency.   If it is an emergency, your family needs to leave their name, phone number, the type of emergency, and the best time to call them.  Refer to the lodging section and the calendar for the appropriate hotel/residence.

Most front desk personnel at hotels speak several languages.  If there is an emergency, ask the front desk of the hotel to contact the appropriate individuals above.  The phone number of the hotel is listed under LODGING.

  • Away from your main location

Most front desk personnel at hotels speak several languages.  If there is an emergency, ask for the Forspro tour representative.   For routine and non-urgent emergency services you can call the local tourist office listed on our web site or visit the links to their pages and get phone numbers to police departments, transportation companies, hospitals, and so on. To contact the emergency services in any EU country, dial 112. The Tour Sheet for each tour and excursion provides additional information.

MISCELLANEOUS

Return Flight from Madrid or Paris

In the event you lose your passport, become ill, or any other reason that may cause you to miss your flight from Madrid to Paris or the scheduled group return flight to the United States, a Forspro representative will stay up to a maximum of 2 additional days to help you or your family make the appropriate arrangements.  If you or your family request our representative to stay the 2nd day, you are responsible for whatever additional expenses are incurred, including the expense to change the Forspro representative's flight.

Forspro Office

The office in Miami will close from June 27 to August 09.  During this time we will be in Spain preparing your arrival and conducting our study abroad programs - our office will be in Spain.  If you need to contact us during these dates, send us an email and list the topic on the subject area.  We look at our emails daily while in Spain; however, remember that Spain is 6 hours ahead.

A word about emails

Email communication is a very convenient, inexpensive, and fast way to get in touch with us - and we encourage it.  Matter of fact, it is the way your family should communicate with us while you are in Spain in the event there is a problem. 

As we get closer to departure and while we are in Spain, we too have more things to do.  Please be prudent with the use of emails.  There will be over 300 students in Spain.  Please don't send us emails asking for addresses, calendars, luggage - we don't have the time to answer them and we probably will not if the answer is on our web site.  Almost everything you need is in our web site.  Of course, if you cannot find the answer to your question, we will gladly answer it for you.  When sending us emails, please provide your full name.

Refunds

There are no refunds for unused portions of the trip, including optional tours. Optional tours are non refundable and non endorsable.  Participants may not assign tours to other individuals.  Once in Spain there are no refunds.
