HOW TO READ FLIGHT ITINERARY

Please refer to your statement to read your flight itinerary.  Below is an example of the eastbound segment of your flight from the U.S. to Paris.  Use the same formula for the Paris/Madrid segment and the westbound flights.

The airline is the one that makes all the flight arrangements and the itineraries for the program flights.  Some participants may encounter long delays in their connecting flights in Paris on the eastbound flights.  These are randomly selected by the airline.  However, the delays are no different than many of the connections you experience in flights you may arrange individually. 

The flight information is in your statement.  The airline is constantly revising their schedules and may make minor changes to their flight departures.  Therefore, there is a possibility that your flight itinerary may have minor changes from the original reservation. 

Finally, since summer is the peak season for travel to Europe and flights fill months in advance, it is important that you notify us immediately of any errors regarding your airline reservation. 

Deviations

Air France will allow deviations from the group’s flight itinerary only on the return flight (westbound).  If you are deviating from the group’s flight itinerary, you need to inform us as soon as possible so that we can submit the request to Air France.  Unfortunately, since this is a contract between Air France and Forspro, Air France will not allow you nor your parents to make any itinerary changes – they require that the change be submitted by us.   Therefore, you must notify us in writing of any change to your airline reservation.  Elvira Losa will be the Forspro individual who will handle the requests here and abroad.   Air France charges a $150 fee for deviating from the group’s itinerary.   Additional fees, if any, may apply depending on the new flight arrangements.  Please note the following when requesting a date other than the group’s: 

  • The change will be made if space is available.  If the space is not available at the time your request is submitted to the airline, the airline places you on "standby".  Although it is seldom that the following occurs, there are times when the space never becomes available.  Therefore, if by April 20th your date request is still not available, then you must choose to return with the group or find your own transportation. 

  • In order to prepare for the trip and issue the airline tickets, no changes to the airline reservation are allowed after May 1.

  • Changes to the airline reservation are allowed after departure.  However, Forspro will charge an additional $25 fee for each airline change  request made after departure.   

If you are providing your own international transportation and do not want the airfare Forspro includes in the price of the program, you receive a $825 credit. Please be aware that the Madrid/Paris flight is part of the international transportation Forspro provides. Therefore, if you are making your own travel plans, you must make the arrangements to travel from Madrid to Paris as well.

Note: Participants traveling on flights different from the group’s flight itinerary and not connecting with the group’s ground transportation must provide their own airport transfers.

Airline Ticket 

The eticket information will be sent to you via email about 2 weeks prior to departure.  Upon receipt of your airline eticket, you should review your ticket to make sure the information is accurate. 

 In order to send you your eticket information, we need your email address.

Airline Seat Assignment

Since these are group reservations, we are unable to make individual seat assignments.  You may request your seat assignment at the ticket counter. 

Airport Check-in

We recommend the following: 

  • Arrive for your flight at the airline counter at least 3 hours before departure.

  • If your flight is late and you miss the connecting flight, go to the counter of the airline that caused your delay.

  • If you miss your flight, send us an email or call Elvira Losa (you will receive her emergency number prior to departure) and let us know your status.

 Luggage Check-in

Due to the luggage space on the buses transferring you from and to the airports in Europe, we limit the amount of luggage you can take to one carry-on and one suitcase.  Below are the airline size and weight restrictions for checked in baggage and carry on luggage.

Checked in Baggage. Checked in baggage is limited to three dimensions of which must not exceed 61 in. and with a maximum baggage weight of 44 lbs.   Any excess on the baggage allowance listed above will be charged at check-in by the airline.

Cabin Baggage.  In addition to an accessory like a purse or laptop, you are allowed a single piece of hand baggage on board.

1 piece of baggage (measuring a maxi of 55 cm, 35 cm, 25 cm *) including a garment bag + 1 accessory (examples: handbag, laptop computer, camera, etc.) weighing a total of 12 kg (26 lbs.). 

Cabin baggage or hand baggage refers to any other type of baggage that is not checked into the hold.

Note: the following rule is the Air France rule. Some local airport authorities (in USA, UK…) might have stricter rules. Please check before you travel
 

If you exceed Forspro's luggage limits of one carry-on and a suitcase, you will have to provide your own transportation.  There are no exceptions Please do not exceed the above limits at any time during your trip These limits allow you to bring sufficient clothing.  If you pack smartly, you have plenty of space with the allowed luggage.  There are laundry facilities in the dorm.  Note:  Although most airline counter personnel automatically check luggage all the way to the passengers final destination, please make sure that your luggage is checked all the way thru. 

  • We offer the following packing suggestions:

  • Coordinate your wardrobe around a single color.

  • Pack comfortable shoes, casual clothing, a sweater/rain jacket, a towel and wash-cloth, swimsuit, and    an alarm clock.  Dress the same as you would to go to school. Dress very casual.

  • Don't pack anything fragile or valuable.

  • We do not recommend bringing valuables - If you do not bring them, they cannot be lost or stolen.

  • Pack in your carry-on toiletries and at least one change of clothing in the event your bag is delayed or lost.
  • Carry with you to Spain copies of the identification numbers the traveler's checks, airline ticket, front page of your passport, and other important documents.

Baggage gauges are available at the check-in desks or hand baggage scanners. We recommend that you use them to check that your cabin baggage's size conforms to the standard.  Any baggage not accepted in the cabin is placed in the baggage hold. We recommend that you use baggage you can lock.

Sharp objects are strictly prohibited. Place your scissors, nail files, nail clippers, razor blades etc. in the hold. In addition, passengers are prohibited from carrying lighters onboard flights to and from the United States of America.

Arrival in Spain

Upon arrival at your final destination in Spain, after you clear customs and pass through the doors, a Forspro representative will be at the gate to meet you. You will receive our Final Newsletter and 2 luggage tags with your airline ticket.  Our Final Newsletter will include detail instructions regarding your arrival in Spain.

Airport Transfers

Unless the participant exceeds the luggage limitations, participants traveling on the group’s flight itinerary are provided transportation from and to the airport.  Individuals who exceed the luggage limitations or are traveling on their own and not connecting with the group's ground transportation are responsible for making and paying for their own ground transportation arrangements.

Passport

Prior to departure, check your passport to make sure it is current.  After departure, safeguard your passport at all times.  Keep your passport with your airline ticket in a safe place and only take it out when it is absolutely necessary. 

After 9/11, security procedures will not allow anyone to board a flight to the U.S. without a valid passport.  Therefore, in the unlikely event your passport is lost or stolen prior to your return flight to Spain (summer program group departures) and there is not sufficient time to have another one issued, our procedure is as follows:  Our representative will stay for a maximum of 2 days after the last scheduled group has departed to help you with your passport and your airline ticket.  You will probably incur substantial charges and will probably have to purchase a one way ticket since your ticket would have expired.  We will try to help you with the airline to minimize your expenses.   You will be responsible for your personal expenses after the program ends.  If you are under 18, our representative will contact your guardian/parents to let them know the status of your passport and ticket.

No visa is required for U.S. passport holders for a stay of up to 3 months. For stays exceeding three months, please contact the Consulates of Spain and France nearest you. If you are not a U.S. Passport holder, contact the Consulates regarding visa requirements. The telephone numbers of some of the Consulates of Spain and France in the U.S. are as follows:
